Welcome to Take Control with Nicole, as business owners, we experience firsthand the fine line between our personal and business lives. Hello, and welcome back to take control with Nicole. So recently, I have been having various conversations around connecting your team and finding those solutions that are really the right fit for your businesses, in particular, in the corporate world. So I come from a background of the, you know, the big global corporate organisations and also some smaller SME size businesses back in Melbourne here when I moved back home from London. And one of the key elements that I’ve noticed across all of them is that when you have really beautiful systems in place, that’s fabulous, but the missing pieces are that the people don’t understand what their role is in that particular system and that operational activity for the business. So really, that’s the missing piece, isn’t it. And it’s up to, done a presentation last week in the HR huddle about this as well, finding not only the system that’s right for you, but the system that is going to support your teams to really become more efficient, to enjoy the operational activities they’re doing each and every day, and connecting you and your people and your tech in a way that is in harmony with the way that you want to operate your business.

Now, that can sound a little bit daunting, you’re already gone through and selected the system, you’re going through the actual tech implementation, which there are some pieces into learning how to, you know, to bring that into life. But when you actually think about it from a human perspective and understand what do your team actually need to feel supported, and surrounded to really be successful in implementing this not just into the business, but into their daily operations, it’s going to really become a beautiful, easy, simple way of moving from the old to the new.

So what can we actually do when we come across this point in our businesses, and we’re just not sure, what actually needs to happen? Take a moment, step back, think about what’s working really well right now. And those gaps in your processes or in your communication in your team that just are a little bit icky are a little bit not quite exactly how you want them to be. They’re the areas that we’re then going to look into. Okay, so we’re not communicating, our internal communication strategy is there is not one. We have so many emails coming in and out of the inboxes that I have to spend three hours on a Sunday afternoon just to get organised. So I can start fresh on a Monday. That doesn’t sound like we really want any of us individually or our teams to be having to do that. So let’s just focus in on that one. Email, oh, email in corporate land. Everything has to be on email. I question that. If you have a beautifully designed system, and a beautifully designed communication strategy that’s going to support not only you and your team, but the wider organisation as a whole. Imagine being able to reduce the number of emails coming into your inbox. Everybody knows their system, whether it’s ClickUp, Monday, Asana, you know, Microsoft projects, teams, whatever it might be, understanding what type of communication we’re having, the area that it needs to go to, and even the sense of urgency, what is actually urgent, what are our turnaround times on responses? Is it something that, you know, do we really need a response right now?

I know one of my, you know, friends and colleagues said to me, he receives these emails and there’s nothing apart from the demand of what’s required. I need this now. Okay, great. So does now mean now, or does now mean I need that so I can prepare for blah, blah, blah, blah. Now I know we know hierarchical sensing, you know, the old school way of you know, all of that now means yesterday. But really, if we think about how this works, communication styles as well, ah, goodness, a couple of years ago, I discovered a communication quadrant on you know, the different styles of communication and how once you understand who you’re communicating with, you can really emulate that, and be able to communicate back in their style. So that it’s really nice and clean. I know that one of the people that I have supported for many years is a very direct, direct communicator. So where about dot points we’re about single sentences, we’re about action, what do we actually need right now? When we talk in person, we get the things done and then we have a wonderful personal conversation about all the fabulous things that are going on. But when it’s business dot points straight to it. I want to know, what is important for me to understand, what do you need for me, and what are the next steps that we need to take. Where other people like to tell a whole beautiful story about how we started from here, and then we’re going off on a journey over there. And then we’re coming back right to the beginning or right to the point was really important.

So understanding your communication styles as well for your team, and being able to build that into your design. So we’re going to design, create, and then we’re going to really connect these elements with your team members. Every one of your businesses, every one of your team is so uniquely independent and uniquely unique. There you go double uniques there. And let’s lean into that, we don’t want to create a structured, rigid format. We want to be able to create a foundation that’s going to support your team, regardless of how they like to communicate, we’re going to be able to create some instructions and some guidelines around, okay, so instead of an email for this purpose, go into your project in ClickUp, all communication should be in there and this is how we communicate. We make sure we have a mention @Nicole, please look at this. We also can assign tasks if it’s an actual action, go in and create a subtask, create a checklist, whatever it might be that you need from you and your team members. And this is not just manager to team member. This is a flatline across whatever organisational hierarchy or system that you have in place.

It’s about understanding your role in that world. And how you can really utilise your systems to the best of their abilities so that you no longer have to spend those three hours on a Sunday afternoon cleaning up your inbox so you can start fresh on a Monday morning.

So from this episode today, take away one thing if he can, have a think about how you’re communicating with your team right now. Is your inbox overflowing? What can we do to resolve that and move forward so that you can really start to enjoy the solutions and the systems you have in place in your business?
